Document Writer

We are looking for an experienced Document Writer working 2 to 2.5 days a week at our offices in Yateley. This role is flexible in terms of hours and days.

The role would monitor, control and coordinate the flow of project related documentation between Sonardyne and it’s customs, ensuring that the correct documentation formats and quality standards are maintained, and that Project Managers and Engineers are kept informed of submission dates and updates from the customers.

Principal Responsibilities:

Monitor and administer a central Document Control email account by ensuring that all incoming correspondence related to project documentation via this account, or passed on from project managers, is acknowledged, logged to the correct project with an action date, and the appropriate Project Manager or Engineer is informed.

Produce and maintain an internal document register for customer project documentation including document status, tracking and revision history.

Review the customers’ specifications such as ‘Supplier Documentation Specifications’ and ‘Supplier Document Requirements Lists’ and ensure that the Project Managers or Engineers have completed documentation in line with these requirements. On occasion re-formatting may be required so the documentation to meet these requirements.

Ensure that all documentation is prepared to Sonardyne QA standards i.e. ISO 9001 and meets specific customer requirements on individual contracts.

Ensure that project related documents sent to customers are in the correct format and are accompanied with the correct transmittal paperwork in line with individual customer requirements.

Support Project Managers in the collation of documents for transmission by obtaining the necessary information from various Engineering and Operations teams.

Track, monitor and communicate customer responses to previously submitted documentation by acknowledging receipt, logging against the correct project and updating the appropriate Project Manager or Engineer via email.

Compile Manufacturing Data Books in line with customer requirements. These typically include, manufacturing build certificates, material certificates, test certificates etc. related to a specific product build.

Liaise with suppliers and subcontractors to obtain relevant project and manufacturing related documentation such as certificates of welding, painting and materials etc. needed for Manufacturing Data Books.

Collate electronic and paper copies of documents to sent to customers. This will include making copies of software and creating CDs.


  • Ideally the candidate will have a minimum of ‘A’ levels or equivalent

    Knowledge / Experience

  • Strong Microsoft Office, Word and Adobe Acrobat skills.

  • A working knowledge and experience of project management

  • Experience working in a Manufacturing or Engineering environment in a document control or administration role

  • Relevant experience of coordinating the document process for multiple projects for both internally and externally focused projects.

  • Experience working in a matrix organization is desirable

  • Strong written English skills

  • Experience of liaising directly with customers and delivering the highest possible levels of customer service
