Job Title: HSE & Quality Advisor
Based: Houston, Texas
Direct Line Reporting To: Senior Vice President North America

Job Purpose: To plan, organise, coordinate and undertake core HSE activities such as risk assessments, planned maintenance, training, communication, audits, investigation and reporting to provide first line support to management and staff on all general HSE matters, in order to ensure legal compliance with all relevant HSE legislation and standards required to achieve and maintain certification for OHSAS 18001. To maintain, monitor, and undertake core Quality activities such as ensuring policies and procedures are adhered to by all employees and commitment to continual improvement of the effectiveness of the Quality Management System so the highest quality standards and as well as maintaining certification for ISO 9001 can be achieved.

Principal Responsibilities


To  maintain and monitor the Sonardyne Inc HSE Management System as the central source of HSE data e.g. update HSE Policies and Procedures, current risk assessments, audit reports, corrective action status, Health & Safety Meeting Minutes, near miss/incident reports, Specialist Survey Reports, Legal Compliance Registers, HAZCOM register etc. Ensure open safety issues are properly tracked and closed in a timely manner. Keep abreast of any changes in legislation or industry best practice and ensure these changes are communicated to relevant Sonardyne employees.

To organise HSE training against agreed training needs analyses and trigger dates, for individual employees/job role requirements: liaising with external suppliers, coordinating internal or external facilities requirements, liaising with employees and managers re attendance details, uploading training certificates for evidence of competency, progressing invoices for authorisation and tracking training costs against the budget. Update and monitor Skills Matrices for all site employees.

To schedule, coordinate and participate in Internal Audits and Workplace Inspections and ensure Corrective Actions are agreed and closed.

To serve as Management Representative in regard to OHSAS 18001 Safety Management System, prepare and deliver information necessary for formal Management Review.

To lead and organise monthly and ad hoc Health & Safety Team meetings, circulate the agenda, confirm attendees, produce meeting slides, take and circulate meeting minutes, ensure action items are assigned, tracked, progressed and closed in a timely and effective  manner.

To deliver HSE induction familiarization and training to new staff/new role, develop and review material content, timing and delivery methods to ensure the understanding, interest and safety compliance of all employees.  

To produce regular reports from the Sonardyne Inc HSE Management System and other external HSE systems for internal and external purposes i.e. for tracking compliance, process improvements, etc.  Also responsible for producing reports to the Sr. VP highlighting important matters on HSE for the Board Report.

To maintain, and monitor external customer HSE management systems i.e. ISNetworld, PEC Safety etc, collecting, reporting and ensuring the accuracy and relevance of safety, insurance, quality and regulatory information to ensure Sonardyne Incorporated is reflected as a safe and sustainable contractor for potential hiring clients and partners. 

To develop, maintain and monitor Fire and General safety inspection programs, independently perform and record results of monthly inspections, inventory and replenish PPE, first aid kits and spill response kits as needed, ensure first responders are trained and qualified to support incidents and drills safely and effectively, report findings to upper management and take actions necessary to resolve discrepancies or make improvements. 

To monitor, record and upload “Carbon Footprint” data to the companies’ intranet based webpage on a re-occurring basis as required.



  1. To maintain, monitor and continually improve the Quality system by ensuring policies and procedures are adhered to by all employees,  documents and forms are controlled,  new versions/revisions are documented properly and once released, changes are communicated and training is provided to  all users of the system accordingly
    To proactively support the Training Manager with the development and execution of training plans for management and staff to ensure compliance to the Company’s Resource Management policy/procedure.

    To serve as the ISO Management Representative,  lead, organise, and coordinate Quality Management Review Meetings and create and publish minutes from Review Meetings, assign action items to employees and monitor and report progress, actively pursue opportunities for improvement and rectify non-conformities, lead team to develop and execute effective Quality policies and objectives.
    To schedule and coordinate internal and external audits of the of the Company’s Quality Management System by ensuring the scope the audits are agreed, and effectively communicated and implemented, with comprehensive actions items uploaded to the Quality System and generation of outstanding action reports circulated for visibility and action.
    To actively promote quality awareness and the benefits of following and continually improving upon processes and best practice procedures by using a range of communication methods to all.

    To monitor and lead the development of new or updated Quality processes and procedures, liaise with relevant departments as needed to ensure Quality system is effective and meets planned objectives.

    To monitor and maintain the Test Equipment Calibration Program, plan, schedule, track and document outside vendor calibration as needed to meet calibration periodicities, review calibration results to ensure they meet standards, report and mitigate any items found out of tolerance.  

    To submit Non-Conforming Product reports to manufacturers or vendors, submit and track warranty requests and approvals, maintain records and reports as needed to meet QMS standards. 

    To conduct and record routine reviews of suppliers and contractors to ensure satisfactory performance, cost effectiveness and compliance with established HSE and Quality standards.  Report and mitigate risks, shortfalls and/or needs for change or improvements. 

    To provide updated certificates of insurance to suppliers, customers and others as requested.

    To develop and manage customer satisfaction survey programs, to achieve and sustain and effective and quantifiable method to communicate, gather, record and evaluate customer support surveys, identify, investigate and mitigate substandard survey results and brainstorm to implement needed improvements.

Dimensions & Scope of the Role      

Regional Office:  A member of Sonardyne Incorporated (Inc) which comprises: Sales, Technical Support, Finance and Administration.

HSE/Quality Team: HSE/Quality Team comprises the HSE Team and the Quality Team (in the UK office) and this role. This role has a dotted line to the HSE Manager as well as Head of Quality (in UK office). The HSE Manager drives, coordinates, advises and monitors Companywide HSE activities. The team is committed to establishing a safe and healthy working environment for all employees and interested parties. The Quality Team. is committed to the continual improvement of the effectiveness of the Quality Management System.

Budget Responsibility:  No budget responsibility, however, cost tracking and reporting will be an integral part of the role to reconcile budget against actual expenditure.

Travel Requirements: Predominantly an office based role with limited travel in the local area. International travel may be required to attend training and meetings at Sonardyne International UK on occasion.

Internal Company Interfaces: All employees, Management, visitors, contractors. Principal interfaces include first and second level Line Management in Houston and International Regional Offices, Nominated HSE Coordinators and Auditors within Regional Offices, Quality Team, UK Internal Audit Team, First Aiders, Fire Marshalls, HR, L&D, Marketing etc.

External Interfaces: Subject Matter Experts (SME) to Sonardyne Inc, Contractor Verification Process providers e.g. ISNetworld PEC Safety, HSE Training providers, Certification Body Auditors, SME Survey Specialists, Regulatory Bodies.



  • Up to date knowledge of applied HSE legislation and best practice (preferably OSHA 30 Hour Certification)
  • Intermediate user level of Microsoft Office Suite
  • Preferably minimum 3 years generalist operational Health & Safety experience obtained ideally within an electronics orientated manufacturing environment  
  • Experience of internal audit processes as a member of an Audit Team or as coordinator of audit activities and outcomes
  • Experience of accident/near miss/incident investigation as a member of an Investigation team or as coordinator of investigation activities and outcomes
  • Experience of manipulating and displaying written and numerical data into effective written reports and presentations
  • Experience of ISO 9001/OHSAS 18001/ISO 14001 and working to these standards
  • Knowledge of online data portals such as ISNetworld would be an advantage
